Administatrative Assistant - Full Time This position provides administrative, secretarial and external support services to the Administrator of **MEMBERS ONLY**SIGN UP NOW***.. The scope of authority of this position is based upon the Administrator discretion. Duties and Responsibilities: Handles routine business and complaints for the Administrator keeping the Administrator informed at all times, Maintains the Administrator calendar Makes travel and meeting arrangements Establishes and maintains confidential files Composes correspondences for Administrator signature Coordinates special events with Management Team/Administrator Notifies Board Members of future meetings, sends out agenda Provides secretarial support services for the President of the Board of Directors and committee chairs Attends meetings of the Board of Directors, takes and transcribes minutes of said meetings and meetings of committees of the Board. Maintains Board files and correspondence Maintains files relative to the conduct of business by the Board of Directors Provides assistance to department managers as needed Provides Notary Public services to residents and their families Establishes a master file of all contracts **MEMBERS ONLY**SIGN UP NOW***. has in place Takes minutes at Management Team and Staff meetings Keeps historical data of organization and documentation associated with such Manages and organizes details for events at **MEMBERS ONLY**SIGN UP NOW***. and offsite(Green Tree/Soup s On) Arranges for computer access/terminations and cell phone changes as delegated by the administrator Any other duty as assigned Knowledge and Experience Requirements: Must have at least 3-5 years administrative assistant experience in Long Term Care or the equivalent Must possess a proficient knowledge of all aspects of Microsoft Office Applications Needs to have a general working knowledge of office equipment Skills and Attitudes Required For Success In Job: Must be able to work with high level confidential information Must be able to relate, communicate and listen to residents, families, staff, vendors, regulators and members of the community on a positive upbeat manner. Possess the ability to make decisions based on fact, following administrative policy, even during times of urgency Ability to prioritize work and work under pressure Utilize good judgment and interpersonal skills at all times Ability to deal with stress in a calm manner Have the ability to comfortably deal with any type of situation that may arise with co-workers, residents, families, vendors, regulators and or members of the community on a daily basis.
